Support Staff Assistant

JOB SUMMARY

  • Permanent back up to the receptionist when she is off on Thursday and covers receptionist lunch daily (with expectation of Monday)
  • In absence of receptionist; will handle all receptionist duties (please see receptionist job description)
  • Scanning and copying
  • Process outgoing mail through postage machine, including bulk mailings, overnights, certified, etc.
  • Process incoming mail and distribute
  • Daily trips, as needed, to post office during tax season
  • Administrative errands, as needed
  • Answer rollover calls
  • Various typing projects as needed, including letters, mail merges, labels
  • Process bank confirmations
  • Maintaining portal, to include adding staff, updating clients, uploading files
  • Saturday kitchen duties including setting up lunches and picking up kitchen when lunch is over.
  • Weekly kitchen duties including stocking kitchen as needed.
  • Copy and process tax returns, including corporate, trusts, gift tax, nonprofit, pension administration, and personal returns
  • Electronic filing of extensions and tax returns

MINIMUM REQUIREMENTS

This position is contingent on the satisfactory completion of a background check.

  • Ability to work Tuesday – Saturday during Tax Season
  • Ability to work independently as well as in a team environment is a must.
  • Completion of a high school diploma or equivalent. Additional course work in math is preferred.
  • Minimum of one year of clerical or administrative experience.
  • Ability to handle driven deadlines and work in a high paced demanding environment
  • Ability to prioritize and handle multiple tasks simultaneously
  • Articulate communicator and analytical, detailed oriented thinker.
  • Understanding and previous use of a Windows-based computer system and applications such as Microsoft Word, Excel, and Outlook.
  • Ability to type 60-70 WPM minimum and possess solid proofreading skills.
  • Strong ability to read and interpret written word and understand verbal instructions as related to any duties assigned.
  • This position requires overtime during tax season and around other deadlines throughout the year. An individual might also have to lift 5 – 10 pounds occasionally.
